Control Room is the first page in the sidebar and the place to start each day. It shows one selected date: the departures on that day, how many of them are ready, who is assigned, and the issues that need your attention across all dates. Schedule shows the same departures one week at a time, with what Bókun currently says about each departure's availability.
Both pages open the same departure window, so you can work from whichever view suits the moment.
Before you start
- You are signed in to your workspace.
- At least one Product has a confirmed Operating Profile. Until then, Control Room shows Products waiting for setup instead of departures for that Product.
- Bookings and availability arrive from Bókun in the background; you do not import anything by hand.
Read Control Room
- Step 1:
Open Control Room from the sidebar.
- Step 2:
Choose the day with Today, Tomorrow or Pick a date.
- Step 3:
If you run several tours, narrow the list with the tour selector. All tours shows everything.
- Step 4:
Read Readiness: "3 of 5 departures ready" counts every departure on the selected date and tour selection, not only the rows loaded on screen.
- Step 5:
Scan Departures. Each row shows the tour and time and one state chip naming the most important fact about that departure. For example: Needs assignment when a required person or vehicle is still missing, Needs attention for another blocking issue, "2 open warnings" when only warnings remain, Assigned ✓ when someone is confirmed and nothing is open, or the departure's stage, such as Prepare or Ready, when nothing is open and nobody is assigned yet. If a departure's state could not be read, the chip says so instead of guessing. A short line beneath adds detail, such as "2 to resolve before ready" or "1 to review".
- Step 6:
Select a row to open the departure window. It has five views: Overview, Resources & groups, Pax Details, Attachments and Activity.
- Step 7:
Use Priorities on the right for issues across all dates, grouped as To resolve, To review and For information. Items you have reviewed can be marked with Acknowledge; items to resolve cannot, and an acknowledged item reopens by itself if the facts change.
Two smaller panels complete the page: Assigned resources today lists who is working the selected date, and Resource communications shows whether each person's daily message has been prepared, sent and confirmed.
Read Schedule
- Step 1:
Open Operations → Schedule.
- Step 2:
Move between weeks with Previous week and Next week.
- Step 3:
Filter with With booking, With resources and the tour selector.
- Step 4:
Each departure shows its staffing state, Staffed, Needs assignment or Not known, and its Bókun availability: Available in Bókun, Unavailable in Bókun, or a note that availability is not known yet, with the time it was last observed.
- Step 5:
Select a departure to open the same departure window as in Control Room.
What you should see
You know which departures on the day still need work, which issues are blocking, and you can open any departure in one click from either page.
If something looks wrong
If the Departures list is empty but you expect departures, check the tour selector first: a narrow selection hides everything else for that day. If Schedule says availability is "not known", TourOperate has not observed it from Bókun yet; that is not the same as "Unavailable in Bókun".
