Open passenger information and export selected report answers

See the bookings on a day, open the passenger information Bókun collected, and export a report limited to the questions your Operating Profile selected.

Pax Details lists, for one day, every departure that carries a booking, and for each booking its reference, status, composition and size. Passenger names and answers are shown separately, only when you open them, and every access is recorded against your account. Corrections made in Bókun appear here after the next synchronisation; TourOperate does not edit passenger details itself.

Before you start

  • You are a member of this workspace with access to passenger details.
  • For the report, the departure's Operating Profile has a Pax Details selection under Manifest rules (see Understand Products and Operating Profiles).

See the day's bookings

  1. Step 1:

    Open Operations → Pax Details.

  2. Step 2:

    Choose Today, Tomorrow or Pick a date, and narrow by tour if needed.

  3. Step 3:

    Each departure card lists its bookings with the reference, Confirmed, Not confirmed or Cancelled, and the booking groups with their guest counts.

Open one booking's passenger information

  1. Step 4:

    Select Open next to a booking. Passenger information shows the Main contact and Traveller 1, Traveller 2 and so on, with the fields Bókun collected, such as first name, last name, nationality or date of birth. A booking may instead read None held, Could not be read or Erased.

Open and export the passenger report

  1. Step 5:

    Select Passenger report on the departure. It shows only the questions the departure's Operating Profile selected, for every traveller, marked Answered or Not answered.

  2. Step 6:

    Select Export report to download the report as a CSV file. Each row carries the date, tour, Operating Profile and departure time, so the file stands on its own.

The Export to Excel button at the top of the page downloads the day's booking list as a CSV file that Excel can open: references, statuses and sizes, without passenger answers.

What you should see

The report lists exactly the selected questions and nothing else. After a correction in Bókun, the changed value appears in the passenger information, in the report and in a fresh export.

If something looks wrong

If Export report is unavailable, the message above it says why: the day is still settling after a change, part of the departure could not be read, or bookings on the day are not yet attached to a departure. Reopen the report after the departures have refreshed. If it says no Pax Details selection is retained, set Manifest rules on the Operating Profile; that applies to departures created afterwards, not to this one.
