A Product is what you sell in Bókun. TourOperate imports it with its rates and never changes it. An Operating Profile is how you run that Product on the ground: the meeting point, the language, what each departure needs, and which rates it sells. Every Product has one default Operating Profile. Add another only when something genuinely runs differently, for example a departure in another language or from another city.
Before you start
- Bókun is connected and the import has finished. Products appear on their own; you do not create them here.
Find a Product
- Step 1:
Open Products → Products. Search by name or by Bókun product ID.
- Step 2:
Each card shows how many Operating Profiles and rates the Product has, and either Needs setup or Confirmed.
- Step 3:
Select Open Product. The window summarises Profiles, Rates, the booking system and the product ID, then shows three sections:
- Operating Profiles, with the default marked Default.
- Defaults for Operating Profiles: staffing and simultaneous-use rules set on the Product. Profiles inherit them unless they set their own.
- Current rates and Organize rates: every rate belongs to exactly one Operating Profile. Move a rate to change which Profile sells it.
Add an Operating Profile in the rate grouping creates a permanent Profile: it cannot be renamed or removed later, and the Product's departures pause until each new Profile is marked ready or set up later. Read the warning before you save.
Configure an Operating Profile
- Step 4:
Open Products → Operating Profiles and select Configure on the Profile.
- Step 5:
Work through the sections. Each one saves with its own button; closing the window saves nothing by itself.
- Arrival: choose an existing meeting point, create one, or record that no meeting point is required.
- Pricing: the rates this Profile sells. Change the grouping from the Product.
- Staffing: the Resource requirements. For each Resource Type choose Required, Optional or Not needed, and how many: Fixed per departure, Per number of passengers or Per number of bookings. Coverage and Simultaneous use rules live here too. These are requirements, not assignments: people are assigned to departures, never to a Profile.
- Manifest rules: under Pax Details, tick the booking questions the Passenger report should show for this Profile. The choice applies to departures created afterwards.
- Confirmation: select Mark Profile ready.
What you should see
The Product card reads Confirmed, its departures appear in Control Room and Schedule, and each new departure lists the requirements you set.
If something looks wrong
If Control Room shows Products waiting for setup, a Product with upcoming availability has an unconfirmed default Profile. Open the Profile, complete what Still needed lists, such as a city, a language or a meeting point answer, then select Mark Profile ready.
